What this notice covers

This notice explains how AI Buddy handles information submitted through its public pilot form and private company workspaces. A company-specific pilot agreement may add stricter instructions; where it does, those instructions control the company’s workspace data.

Information we handle

• Business contact information and workflow details submitted for a pilot review.
• Account, authentication, role, and security-event information for invited users.
• Files and instructions a company deliberately supplies to an approved skill.
• Run status, technical logs, usage records, output files, and audit history needed to deliver and secure the service.

How we use information

We use information to review pilot requests, authenticate users, execute approved skills, return outputs, protect company boundaries, investigate failures, enforce limits, provide support, and meet legal obligations. We do not sell personal information or use client files as shared cross-company memory.

Service providers and AI processing

AI Buddy uses controlled infrastructure providers to host the application, store private artifacts, run isolated workspaces, deliver authentication, and—only when enabled for a company—process approved work with an AI provider. A current provider and subprocessor summary is supplied during pilot review before real company files are accepted.

Retention and deletion

Input content is retained only while its authorized run is active and is deleted before the run is finalized. A one-day emergency ceiling applies only to abandoned or interrupted runs. Outputs remain private for the company’s configured delivery period, which defaults to 90 days. Content-free security, billing, and audit records may be retained longer where needed for fraud prevention, dispute resolution, and legal compliance.

Your choices

Authorized company contacts may request access, correction, export, or deletion through their pilot contact or the request form on the AI Buddy home page. We verify authority before acting on workspace data.

Security and changes

Our controls are summarized on the Security page. We may update this notice as the pilot changes and will update the date above. Material changes affecting an active pilot will be communicated to its authorized contact.
